Engineered Composites, Inc. Organizes Their Employee Information with Staff Files

employees; five employees use Staff Files.
Situation/Challenge
Upon starting his new role as Controller at Engineered Composites, Brian Wallace saw the need for a more organized system to keep track of employee data. There were few employee files and they were scattered
between different areas of the company. Because of high employee turnover, it was difficult to quickly create new files, and keep new and old files up-to-date and organized. The challenge was to set up an entirely
new system for keeping track of employee records. After doing a Google search online, he found Staff Files. “I liked the interface, but the Documents tab that I could add documents to was the biggest selling
point,” says Wallace. “The Documents tab ties into the network and keeps those files organized.”
Solution
Engineered Composites takes full advantage of the features in Staff Files. It is used to track benefits, vacation time and absences, performance evaluations, miscellaneous notes, and scanned documents, as well as
general employee information. “The general screen contains all the information I need to fill out government forms,” says Wallace. “I also send the Comprehensive report to our payroll provider to
help set up new employees for payroll.” He likes the functionality with Microsoft® Access, so special reports can be created and tailored, when needed.
The ease of use helps with productivity, too, particularly when it comes to dealing with turnover. “It’s easy to add employees and it’s nice to be able to filter between active, inactive and terminated
employees,” says Wallace. “I also like to sort on location or position.” He uses the reminders for timely benefit enrollments, I-9 renewals and to recognize employees’ birthdays.
There are five Staff Files users at Engineered Composites. Supervisors have access to specific tabs, including the Notes and Evaluations tabs, so they are able to add information about the employees they supervise.
They can also see the General tab to look up phone numbers and other basic employee information.
