Setting Up Your Appointment Calendar

After purchasing your new PC-based appointment scheduling software, it’s time to set up the calendar, so it’s specific to you and your company. It just takes a couple of minutes to customize it.

From the Tools menu in Customer Appointment Manager, click on Company Options. There are three sections in the Company Options window to update:

  1. General Company Information
  2. Backup
  3. Holidays/Days Closed

Set Up Your General Company Information:

In the General tab, you can choose the time intervals you would like to display in your appointment calendar. Select to display appointment information every 5, 10, 15, 20, 30, or 60-minute time intervals. This is also where you can choose which day of the week the calendar should begin.

Many service-based businesses refer to their patrons as customers. However, accountants and tax preparers, consultants, lawyers, and tutors often will refer to their customers as “clients.” And, many clinics, including chiropractic, dental, and veterinary clinics refer to their customers as “patients.” In our appointment scheduling software, you can change the label preference to clients and patients to customize it to your type of business.

The General tab is also the area where you set up your schedulers with a user ID and password, as well as assign a type of security for the account.

Set Up Your Backup Reminder:

Many businesses will save their database on the server, and their server (along with all the files on it) is backed up regularly. If you save the database file on your individual computer, it’s important to periodically back it up manually. A Backup reminder will help you remember to manually back up the database. Mark the check box in the Backup tab to set up the reminder alerts.

Set Up Your Holiday Schedule:

There will likely be some holidays when your business will be closed even if your business is open seven days a week. Mark the check boxes in the Holidays/Days Closed tab for the days your office will be closed.

Now it’s ready to start booking appointments! Those three easy and quick steps are all that is needed to set up your appointment calendar.
