Customer Profile

The Occupational Medical Program at the Idaho National Laboratory employs two doctors, two physician assistants, and 10 nurses who work in five occupational medical facilities. This government site in Idaho Falls, Idaho has 5,000 – 8,000 employees. Their employees are required to see an on-the-job physician for yearly physicals and as a follow up to all surgeries and injuries. JoVonna White is their CFA Administrative Assistant.

Situation/Challenge

The Occupational Medical Program had been using a calendar in Lotus Notes to schedule appointments. There were multiple employees using the calendar, who would often delete appointments and add recurring appointments for an entire year. “We had no idea what day patients were actually coming in,” JoVonna said. “It was a nightmare.” Appointment schedulers also had to manually enter all the patient information into each field for every appointment which led to multiple typos and errors.

Solution

JoVonna used Customer Appointment Manager at a medical office she had previously worked at and suggested it to the IT department at Idaho National Laboratory. Their IT department looked into the cost of using it as their appointment scheduling software and agreed that it could be helpful since they schedule thousands of appointments each year. “It was a godsend when they said we could give it a shot if I would be willing to train our employees on this scheduling system,” exclaimed JoVonna. “I was more than happy to do it! It’s a great program to work in and it was so easy to train my coworkers to use it.”

Benefits

Scheduling appointments is a lot faster and error-free now using Customer Appointment Manager because of the drop-down fields for physician and patient names, as well as the services they provide. Information entered for previous appointments is saved, so schedulers simply have to choose a contact’s name from the list. Those drop-down fields in the Appointment Form eliminate constant re-entry of contact data, which had led to so many typos when their appointment calendar was in Lotus Notes.
